POSITION:  Data Coordinator

DEPARTMENT:  Enrollment

REPORTS TO:  Director of Enrollment Operations

PRIMARY FUNCTION:  This position is responsible for various administrative support duties necessary for the recruitment and admission of incoming students within the Office of Admissions; Graduate & Online Admissions; International Student Services & Enrollment. It serves as an integral part of the Enrollment Operations Team maintaining an advanced level of knowledge. Includes entering admissions decisions and scholarship awards into the current Jenzabar JRM system (future Salesforce Education Cloud) and EX Admissions module as well as processing all admissions decision letters, all scholarship award letters, and revising applicants’ files as needed. You will evaluate data and make independent judgments about the improvement of technical and administrative practices and processes with minimal supervision and provide administrative reporting assistance to the directors of admission and admission counselors. This position is hybrid, working in-person, on-campus at least three out of five workdays throughout the year. (Wed, Thur, Fri)


 QUALIFICATIONS:

  • Associate’s degree or equivalent work experience, technical school training in secretarial and/or computer background or equivalent experience in higher education.
  • Requires excellent computer skills. Proficiency in Windows Operating Systems with expertise in Microsoft Office products including Word, Outlook and Excel required. Knowledge of Infomaker, Jenzabar, Jenzabar Recruitment Manager and/or TargetX on the Salesforce platform and/or Education Cloud preferred; SQL knowledge helpful.
  • Experience in college admissions (preferred).
  • Attention to detail and accuracy a must.
  • Excellent interpersonal, communication, and customer service skills for both internal and external audiences a must.
  • Maintain high level program knowledge base to effectively answer questions.
  • Must be able to multi-task and maintain focus on those tasks.
  • Must be a self-starter who can work with little supervision.
  • Must be able to work 4-5 Saturdays per year. Assistance in on-campus events as applicable may require occasional later hours on week nights or Saturdays with advanced notice.
  • Ability to work collaboratively with a wide range of constituencies, including staff, faculty and administrators.

 DUITIES AND RESPONSIBILITIES:

  1. Entering admissions decisions and scholarship awards into the JRM system and Jenzabar Admissions module daily for Office of Admission and International Student Services & Enrollment Office.
  2. Coordinate, prepare and generate all mailings for students receiving an admissions decision. Mailings occur weekly and are sent to the prospective student pool over the course of an academic year. Letters include admissions decision letters, scholarship award letters, and letters from the dean of academic affairs and president respectively.
  3. Prepare and check applications on a daily basis including imports for Common App and Pioneering Spirit. Disseminate application lists to staff each morning. 
  4. Using InfoMaker and JRM program, generate the following reports:
    1. Deposit reports for Academic chairs
    2. List of academically accepted students grouped by academic department/school so that the departments can contact the students.
    3. Various admissions status reports for the admissions counselor
    4. Prospective students for the Honors Program
    5. Miscellaneous ad hoc reports that occur throughout the academic year.
  5. Coordinate, prepare and generate a series of letters mailed to students at the deposit admissions stage.  Letters include deposit acknowledgement letters, letters from the director of admissions, and letters from the dean of student affairs and president respectively. 
  6. Coordinate, prepare and generate all mailings and reports for the admission events and programs. This includes assisting with the coordination of materials needed for the program, i.e., packets and contents within. 
  7. Serve as the backup to the Admissions Data Manager and Admissions Coordinator assisting with visits as needed. This includes maintaining the database, keeping duplicate records to a minimum, ensuring data is correct and consistent, and providing training to new users as necessary. Will cover front desk on some days throughout the week. 
  8. Monitor and maintain the office enroll email account. 
  9. This position coordinates our inventory control. As such, the work students will assist with counting inventory on a monthly basis and having the students maintain the order of the storage areas. 

Non-Essential:

SUPPORT  

  1. Serve as backup to the other support team members. Function as backup for data entering/preparing application files to the Application Coordinator when necessary. 
  2. Serve as the back up to the Manager, Enrollment Operations Team. 
  3. Provides support for admission recruitment initiatives. 
  4. Perform other related duties as assigned.
