Multimedia Equipment Guidelines

- Equipment reservations can only be made for spaces that have been confirmed scheduled by either the Office of the Registrar or Conferences and Events.
- The Media Services office will only accommodate and service on campus rooms.
- The Media Services office does not manage the following on campus spaces:
- Center for Media Innovation
- TV Studio
- Dance Complex GRW1 Technical Deck
- Playhouse PNC, Highmark, Rauh Theaters, Production Shops, and Sound Stage
- Please keep all media cabinets and carts free from trash and personal belongings and class specific papers, folders, and books.
- Food and drinks are prohibited from all media cabinets and carts.
- Equipment can only be delivered during office hours. Accommodations can be made for overnight or outside hours. This will be determined in advance with Manager approval
- Requests must be made at least 24 hours in advance. We cannot guarantee equipment availability or delivery for last minute requests.
- Requests will only be accepted for the current semester.
- Requests made by students cannot be accepted, however a student may have a University employee request on their behalf.
- Requests cannot be accepted for dates when the University is closed or during University holidays.
- Employees reserving equipment are not permitted to take the equipment off campus grounds nor are they permitted to have another individual take equipment off campus grounds.
- All individuals reserving equipment are responsible for operating the equipment. We only are staffed to deliver equipment. Any individual may request a tutorial session by contacting the Media Services staff using the contacts page and setting up an appointment.
- Individuals are responsible for knowing how their own personal laptops and tablets operate and are responsible for any adaptors necessary when connected to LCD projectors or multimedia equipment. Our staff will try to help with technical issues.
- Correct cabling or power cords are not to be interchanged or substituted.
- Only software installed by the Information Technology Departments Help Desk is to be used on Classroom PC’s and laptops. Additional software requests and updates must be requested to the Help Desk.
- Keys for the carts and cabinet doors are not available.
- Any cabling or wiring attached to classroom multimedia units and carts is not to be removed or rewired for any reason. If you need additional cabling or cabling is not attached, please contact the Media Services at (412) 392-6160.
- ADA accommodations can be made on a case by case term and must be communicated through the University’s Accessibility Coordinator.
- All event and meeting spaces must be reserved through the Conferences and Events Department. Audio visual needs will be communicated to the event coordinator assigned to your event.
- All student events and programming must be scheduled and reserved through the SAIL request process. Audio Visual needs will be communicated through the Conferences and Events coordinator assigned to your event.
- Any event performer with a “contract rider” must be reviewed by the Media Services office and Conferences and Events prior to signing the contract.
- Events requiring the use of Media Services media must fall under office hours of operation. Any exceptions will be agreed upon with the Manager of Media Services and may result in a fee charged to the event holder.
